Class Cloud is subscription-based and scales with your school. You pay for the users you have and the modules you need - nothing more.

How it works

Your price = Users × Modules

Class Cloud pricing has two variables: how many users log in concurrently, and which feature modules you add to your subscription.

Tell us how many admin staff need to be logged in at the same time (concurrent users). You can add temporary summer users for your peak period - charged pro-rata.

Start with the Core and Ledger Modules and add what you need: Advanced Academics, Timetabling, Accommodation, Online Toolkit, and more.

User types

Three types of concurrent users

You can have as many staff with logins as you like - you only pay for the number who can be logged in simultaneously.

Admin Users

Your core school administration staff - registrars, accounts, directors of studies. These are your primary concurrent user licences. You can add extra summer-only users for peak periods, charged pro-rata.

Teacher Portal Users

A separate, lower-cost licence for teachers recording attendance, absence and assessments in the classroom. Limited access to Class features - you only need enough to cover peak teaching hours, not one per teacher.

GDPR-friendly online booking forms with live prices and availability. Student, Agent and Host Family portals. Parental consent forms available as an add-on.

Accounting Export

Export all financial transactions - invoices, credit notes, receipts - into your existing accounting package (e.g. Xero, QuickBooks, Sage).

Price Import

Export your current prices to Excel, update dates and rates, and re-import in seconds. Huge time-saver for annual price updates.

One-time investments when getting started

In addition to the annual subscription, there are a small number of one-time costs when setting up Class for the first time:

Installation
A one-off charge to set up your database on our cloud infrastructure.
Data Import
We can import your existing student, agent and homestay data from CSV/Excel files. A charge applies for homestay data or if you'd like us to handle the import.
Online Toolkit Setup
If you choose the Online Toolkit module, consultancy is required to brand and configure your booking form templates.
Training
Bespoke training packages available to get your team up and running quickly.

Common questions

Your annual Class Cloud subscription includes: 12 months access to Class Cloud, hosting of your Class database, full product support from our dedicated UK team, access to online training and getting-started materials, standard quarterly version upgrades, full backups and security for your data, and IT support for your Class setup.
Yes. Let us know what you'd like to change and we'll send a revised quote. Costs are pro-rated against your current contract. For temporary summer users, we connect them on your chosen date and remove them at the end of the peak period.
Typically, from the day you decide to subscribe, we can get you up and running within a month (depending on your setup). We start with an internet speed test from your school, set up your database on our cloud infrastructure, and then schedule your training sessions. After a 30% deposit is received we book in your installation date.
Class Cloud supports Microsoft Windows operating systems (Windows 10 and 11). Class Web (the next-generation browser-based version) will work in any modern browser on any device.
Yes - we can import static data including student, agent and accommodation provider records. We supply you with straightforward Excel templates to populate. Please note that existing bookings and financial history cannot be imported, but notes fields can be used to preserve key information.
